Responsible AI at Suppeco

AI is becoming an increasingly important part of how organisations understand performance, risk, relationships and operational data. We believe that capability must be matched by clear governance, accountability and responsible use.

Suppeco develops and uses AI to support better human decision-making — not to remove human accountability.

Our AI capabilities, including SuppEQ, operate within a defined governance framework covering how AI is selected, developed, approved, deployed, monitored and reviewed.

Our approach

Human accountability

AI-generated insight, analysis and recommendations are designed to support people in making better-informed decisions.

Accountability for material decisions remains with an identifiable person or organisation. AI should inform judgement, not replace it.

Purposeful and proportionate use

We use AI where there is a clear and legitimate business purpose.

AI use cases are assessed according to their potential impact, the information being processed, the decisions they may influence and the controls required to manage associated risk.

Higher-impact uses require greater assessment, oversight and approval.

Security and privacy

AI operates within Suppeco’s wider information security and data protection environment.

Access to information is controlled according to role and legitimate business need, with appropriate safeguards applied to customer, supplier, personal and commercially sensitive information.

Customer information is not used for unrelated AI purposes or to train models for the benefit of unrelated third parties without appropriate authorisation.

Transparency

We believe users should understand when AI is materially contributing to an insight, recommendation or process.

The level of transparency and explanation provided is proportionate to the nature of the AI capability and the potential impact of its output.

Reliability

AI output should never simply be assumed to be correct.

We apply appropriate testing, validation, monitoring and human oversight according to the importance and potential consequence of an AI-enabled process.

Known limitations are considered as part of the design and governance of our AI capabilities.

Fairness

Where AI could materially affect individuals, suppliers or other stakeholders, we consider the potential for bias and unintended outcomes.

AI must not knowingly be designed or used in a way that results in unlawful discrimination.

Human oversight

Material AI-enabled processes are designed so that appropriate human intervention remains possible.

Users should be able to review, challenge or override AI-generated recommendations where the nature of the use case requires it.

Continuous monitoring

Responsible AI is not a one-time approval exercise.

We monitor material AI capabilities throughout their lifecycle, including changes in performance, technology, data, security, regulation and user experience.

Where necessary, AI functionality can be modified, restricted, reassessed or withdrawn.

SuppEQ and AI within Suppeco

SuppEQ is Suppeco’s domain-focused AI capability for Supplier Relationship Management.

It is designed to help organisations interpret operational information that has traditionally been difficult to analyse at scale — including performance data, commentary, communications, documents, activities and other structured and unstructured information.

SuppEQ can support users in identifying patterns, emerging risks, potential improvements, mitigations, relationship dynamics and other operational insights.

These capabilities are designed to augment human expertise and strengthen decision-making, rather than create autonomous authority over significant commercial or supplier decisions.

The same governance principles that apply to Suppeco’s wider use of AI apply to SuppEQ

Governance and accountability

Suppeco maintains a documented AI Governance and Responsible Use Policy.

Our governance framework establishes:

  • executive accountability for AI;
  • defined ownership of AI use cases;
  • assessment and approval requirements;
  • AI risk classification;
  • information security and privacy controls;
  • human oversight requirements;
  • testing and validation;
  • third-party AI assessment;
  • monitoring and change management;
  • incident and escalation processes; and
  • mechanisms for users and stakeholders to raise concerns or provide feedback.

Every material AI use case must have a defined purpose, accountable owner and proportionate level of assessment and oversight.

Feedback and unintended impact

AI systems can produce outcomes that were not anticipated during design or testing.

We therefore provide mechanisms for employees, customers and other relevant stakeholders to raise concerns regarding matters including:

  • inaccurate or misleading AI output;
  • unexpected behaviour;
  • potential bias;
  • inappropriate recommendations;
  • security or privacy concerns; and
  • other unintended consequences.

Material issues are investigated and may result in corrective action, additional controls, reassessment or suspension of the affected capability.

We also consider positive feedback and emerging use patterns as part of the continual improvement of our AI capabilities.

Our governance framework

Suppeco’s approach to responsible AI is informed by recognised international standards, regulatory frameworks and good-practice principles, including:

ISO/IEC 42001 — Artificial Intelligence Management Systems
Principles relating to AI governance, accountability, risk management, lifecycle controls, monitoring and continual improvement.

NIST AI Risk Management Framework
Including its Govern, Map, Measure and Manage approach to identifying and managing AI risk.

EU Artificial Intelligence Act
Including its risk-based approach to AI governance, transparency, human oversight and accountability where applicable.

UK data protection requirements and ICO guidance
Where AI involves the processing of personal data.

Reference to these frameworks describes the principles informing Suppeco’s governance approach and does not represent a claim of certification unless expressly stated.

Responsible AI is an ongoing commitment

AI technology will continue to evolve rapidly.

So will the expectations placed on organisations that develop and use it.

Our approach is therefore based not simply on adopting AI, but on ensuring that its use remains purposeful, secure, accountable, transparent and proportionate to risk.

That principle sits at the heart of how Suppeco develops and governs AI.
